Privacy policy

How we collect, use, share and protect your personal information, and the rights you have over it.

Version 2026-11-03 · In effect from November 3, 2026

This policy explains what personal information Innovo Staffing collects through innovostaffing.ca, why we collect it, who receives it, where it is stored, how long we keep it and what rights you have. If anything here is unclear, ask us.

Who is responsible for your information

Innovo Staffing is responsible for the personal information it collects. Our person in charge of the protection of personal information makes sure we follow this policy and the law, and answers requests and complaints. You can reach them through the privacy contact shown on this page and at the bottom of every page of this site.

What we collect

We ask only for what we need, and any field we don’t need is optional.

  • When you apply for a job or send us your resume: your name and email address, your phone number and city (both optional), whether you are legally entitled to work in Canada, your resume and any message you add. With a general resume, you can also tell us the role you want, the industries and locations that interest you and when you are available.
  • When you ask us for staff: your company’s name, your name, email address and phone number, and details of the work: industry, type of staffing, number of workers, work location, start date and a description of the job.
  • When you contact us: your name, email address, phone number (optional), whether you are an employer or a job seeker, and your message.
  • When you report a fraudulent job posting: the job reference or link and what you tell us about it. Your name and email address are optional, so you can report anonymously.
  • With every form: the date and time you agreed to this policy and the version you were shown. On job forms, we also record whether you agreed to let us keep your resume for future opportunities.

Our forms never ask for your date of birth or age, a photo, your marital or civil status, your place of origin or nationality, your health or your language skills.

Information collected automatically

  • To block spam, we limit how many forms can be sent from one internet connection. To do this we keep a scrambled (hashed) form of your IP address, never the address itself.
  • We use Vercel Web Analytics to count visits to our pages. It does not use cookies.
  • Our public pages don’t use cookies for advertising or tracking. Staff sign-in uses only the cookies the staff area needs to work.
  • We don’t use any technology that identifies, locates or profiles you.

Why we collect it

  • To consider you for jobs with our clients and to contact you about your application.
  • If you agree, to keep your resume on file and tell you about future opportunities that match your profile.
  • To respond to employers who ask us for staff, and to answer your messages.
  • To look into reports of fraudulent job postings.
  • To meet our legal obligations, such as keeping records of our job postings and telling interviewed applicants whether a hiring decision has been made.
  • To protect this site from spam and abuse.

We use your information only for these purposes. Before using it for anything else, we ask for your consent, unless the law allows that use without it.

Your consent, and withdrawing it

When you send a form, you agree to the collection and use described in this policy. Keeping your resume for future opportunities is a separate choice: that box is never ticked for you, and you can leave it unticked and still apply.

You can withdraw your consent at any time by writing to us. We then stop using your information for that purpose and delete it, unless the law requires us to keep it (see Retention, below). If you withdraw consent while we are considering you for a job, we may no longer be able to put you forward for it.

Who receives your information

  • Innovo staff who need it for their work. Only our staff can sign in to the area where submissions are kept, and each has their own account.
  • Client employers. When we put you forward for a position, we share your resume and the details the employer needs to consider you for it.
  • Service providers that run our website and email for us. They may use your information only to provide their service to us:
    • Supabase hosts our database and stores the resumes you upload, in Oregon, in the United States.
    • Vercel hosts this website and processes the forms you send, in the United States.
    • Resend sends our emails, such as the confirmation you receive after you apply, from the United States.
    • Google Workspace runs our company email, including info@innovostaffing.ca.
  • Authorities, when the law requires it. For example, an employment standards officer may ask to see our records of job postings and hiring-decision notices.

We never sell personal information.

Where your information is stored

Your personal information is stored in the United States, in Oregon, by Supabase. Vercel and Resend process it in the United States, and Google Workspace may store our emails outside Canada. This means your information is stored and processed outside Quebec and outside Canada. While it is there, it is subject to the laws of those places, and courts, law enforcement or national security authorities there may be able to access it.

How we protect it

  • Resumes are kept in private storage. Only signed-in staff can open them, through links that expire after a short time.
  • Information is encrypted while it travels between your browser, this website and our service providers, and our database provider encrypts it where it is stored.
  • Staff accounts are protected by passwords, and nobody can create an account for themselves.
  • Staff see personal information only when they need it for their work.

Retention: how long we keep it

  • Applications and resumes: as long as we need them to consider you for jobs. If we used your information to make a decision about you, we keep it for at least one year after that decision.
  • Interview records and hiring-decision notices: 3 years, as Ontario’s Employment Standards Act requires.
  • Staff requests, messages and fraud reports: as long as we need them to answer you or to look into your report.
  • Job postings: every version we publish is kept for at least 3 years after it comes down, as Ontario law requires. Postings don’t contain applicants’ information.

After that, we delete the information or make it anonymous. You can ask us to delete your information sooner, and we will, except for anything the law requires us to keep.

Your rights

You can ask us to:

  • give you access to the personal information we hold about you;
  • correct information that is inaccurate, incomplete or out of date;
  • stop using your information by withdrawing your consent, or delete it;
  • give you a copy of the information you gave us, in a structured, commonly used format.

To make a request, write to our person in charge of personal information or to info@innovostaffing.ca. We may ask you to confirm your identity first. We reply within 30 days, and there is no charge.

Complaints

If you have a concern about how we handle your information, contact our person in charge of personal information. We will look into it and reply in writing. If you are not satisfied with our answer, you can complain to the Commission d’accès à l’information du Québec if you live in Quebec, or to the Office of the Privacy Commissioner of Canada.

Confidentiality incidents

If information we hold is lost, stolen or seen by someone who should not see it, we act quickly to limit the harm. If an incident presents a risk of serious harm, we tell the people affected and the privacy regulator. We record every incident in a register.

Automated decisions and artificial intelligence

This website doesn’t make decisions about you automatically. If artificial intelligence is used to screen, assess or select applicants for a position, the job posting says so.

Changes to this policy

When we change this policy, we publish the new version with its date. Earlier versions stay listed on this page with the dates they were in effect.

Earlier versions

This is the first version of this policy. When we replace it, earlier versions will be listed here.
